Attendance tracking groups enable staff to log into the Track app using a single unique code for multiple sessions. Sessions in each group automatically change from one session to another in time order.
If your sessions are running close together, you will need to set the session group tracking open and close times so they don’t overlap.
Setup tracking session groups
To setup a session group
- Navigate to Attendance Tracking > Session Groups from the Navigation Menu
- Click on the + button
- Enter a title
- Click Save
- Click on the Edit button
- Select the sessions to be included in this group
- Click Save
To set session group tracking open and close times
- Navigate to Attendance Tracking > Session Groups from the Navigation Menu
- Select the appropriate session group
- Navigate to the Configure tab
- Set the Start Offset (Minutes), this is the number of minutes scanning opens before the start of a session.
- Set the End Offset (Minutes), this is the number of minutes scanning closes before the end of the session.
- Click Save
Important note
The Start Offset time must not be larger than the End Offset.
Recommendation: To determine session group maximum offsets:
Start Offset = 20% of the shortest session in the session group
End Offset = 30% of the shortest session in the session group
Eg; Shortest Session = 60 mins; Start Offset = 12 mins, End Offset = 18 mins.
Tracking Session Group Access Codes
Session access codes are required to access the Track app. Access codes for session groups are auto-generated when you create the group. These codes can be exported and distributed to staff to manage.
Note:
It is recommended to add a column and include the Event Code. This allows staff to have all relevant information to access the Track app.
To export session group access codes
- Navigate to Attendance Tracking > Session Groups from the Navigation Menu
- Click Export Session Group Codes from the right-hand options on the Configuration Panel
