Configure Personalised Schedules

Personalised schedules are a feature of the Schedule Builder that allows sessions to be visible or hidden based on profile information. For example, during registration, attendees can purchase tickets to the Gala Dinner. If the attendee is attending the Dinner, this session will appear in their schedule. If they are not attending, the session will be hidden.

 

Please note

Attendees must be logged into the App to view their personal schedules.


To create a session

Firstly you will need to create a session to personalise. More information on creating sessions can be found here.

 

To configure your session for personal data

Each session must be configured individually to allow for personalised viewing. Even if attendees have been assigned to the session, the personalisation will not display until this setting is enabled.

  1. Select the pencil icon for the session you wish to update
  2. Navigate to Page Settings in the right-hand options
  3. Click Edit
  4. Navigate to Show by Profile and select Yes from the drop-down
  5. Click Save

 

Adding Profiles to Personalised Sessions

Once your sessions are configured to allow for Show by Profile, there are three (3) options to create personalised schedules:

  1. Via profile filter per session
  2. Via spreadsheet upload for multiple sessions
  3. Manually adding profiles

 

OPTION 1: Add profiles to a session via the Profile Filter

To quickly add attendees to a session, you can use profile data and the profile filter. This is done per session rather than in bulk for multiple sessions.

  1. Navigate to Content from the Navigation Menu
  2. Select your schedule from the list of pages
  3. Navigate to the Profiles tab
  4. Hover over the + button and select Bulk Add Profiles
  5. Click Profile Filter
  6. Create the rules for the relevant filter (e.g. Workshop = X)
  7. Click Next
  8. Review the profiles that will be added to the session
  9. *OPTIONAL* If you already have attendees added to the session and you would like to override those with the attendees being added, click Overwrite existing linked profiles for this session.
  10. Click Next
  11. Confirm that selected attendees will be added to the session by clicking the tick box
  12. Click Submit

 

OPTION 2: To prepare your personal session data for spreadsheet import

Prepare an excel spreadsheet with your profile and session data.

Ensure the following is included in your spreadsheet:

  1. List of profiles with their unique reference field
  2. One column per session - if preferred; profiles for each session can be uploaded separately
  3. Ensure there are no more than 10 sessions listed per upload

 

Import personalised schedule data

Once sessions have been enabled to support a personalised schedule, relevant session data must be imported and applied to the applicable sessions.

  1. Navigate to Content from the Navigation Menu
  2. Select your schedule from the list of pages
  3. Click Import Personal Schedule data from the right-hand options on the Configuration Panel
  4. Click Choose a file and select the relevant file
  5. Click Next
  6. Assign the relevant columns with the corresponding headings using the drop-downs
    1. Reference Field - a unique identifier used to match profiles with those existing in the Core (CMS) (e.g. External Reference). 
    2. Session - the field used to differentiate the sessions you are assigning attendees to
  7. Click Next
  8. Select the Schedule Session that will be associated with the Session column selected from the drop-down
  9. Click Next
  10. Select the Action for each Data Value  in the Session column using the drop-down options 
    1. Add to Session: Display this session to this Data Value
      (E.g. Gala Dinner Session with Data Values Yes and No. Those who are attending the session are set to Yes, therefore, Add to Session to display the Gala Dinner Session to those attending)
    2. Ignore: Ignore this Data Value
      (E.g. Gala Dinner Session with Data Values Yes and No. Those not attending the session are set to No, therefore, Ignore the session, to not display the Gala Dinner Session to those not attending)
    3. Remove From Session: Remove attendees with this Data Value from the Session.
      (E.g. Gala Dinner Session with Data Values Yes and No. Data Value No has been assigned to this session by mistake. To un-assign those attendees, Remove From Session)
  11. Click Next
  12. Review your data
  13. Click Submit

OPTION 3: Add attendees to a session manually:

Sometimes, you may need to add attendees to a session one at a time. This is great for adding in any last-minute registration or making changes to those who can view the session. It is also recommended to have some staff added to all sessions so they can view what your attendees will view.

  1. Navigate to Content from the Navigation Menu
  2. Select your schedule from the list of pages
  3. Navigate to the Profiles tab
  4. Hover over the + button and select Quick Add Profile
  5. Select the attendee's name from the drop-down list
  6. Click Save

 

Personalised Schedule Conditions:

  • This feature does not allow attendees to build their own personal schedule, as this will be managed by the event organiser
  • Each individual session must be enabled manually
  • Attendees will need to be logged in to view their personal schedule
  • Once one attendee is assigned to a session, it will be removed from all attendees’ schedules who have not been assigned
  • Creating a personalised schedule is from a ‘moment in time’. If registration is open, attendees may not be able to see any sessions in the schedule. This feature is best used once registration is closed, or you are using Entegy's Registration > Session Registration.
